How Stayvalor handles personal information.

Stayvalor is built to align with GDPR, PIPEDA, and the Nigeria Data Protection Act, and applies those standards by default.

1. The two roles we play

When you visit our website, book a demo, subscribe to the platform, contact support, or receive marketing from us, Stayvalor acts as a controller because we decide how and why that information is processed.

When a hotel, resort, or residence uses Stayvalor to manage guests, that property is the controller of guest data and Stayvalor acts as a processor under the property's instructions and our Data Processing Addendum.

2. Information we collect

From website visitors and prospects, we may collect name, email, company, property details, IP address, browser type, device information, pages visited, and cookie data.

From property customers, we may collect account details, team member details, subscription and billing information, support communications, and usage or diagnostic data.

Guest data processed for properties may include reservation details, contact information, stay preferences, notes, identification documents uploaded through the guest portal, folios, payment records, in-stay requests, and digital key events.

3. How we use information

We use personal information to provide, operate, secure, and improve Stayvalor; create and manage accounts and subscriptions; process payments through payment partners; provide onboarding, migration, and support; communicate service updates; prevent fraud and abuse; and comply with legal obligations.

We do not sell personal information, and we do not use guest data processed for properties to market to those guests.

4. Legal bases

Where GDPR or similar laws apply, we rely on contract, legitimate interests, consent where required, and legal obligation. These bases cover providing the platform, securing and improving the service, sending permitted communications, handling non-essential cookies where accepted, and meeting tax, accounting, or regulatory duties.

5. How we share information

We share personal information only with service providers and subprocessors who help us run the platform, the property you are dealing with where you are a guest, professional advisers and authorities where required by law, and successor entities in connection with a merger, acquisition, or sale of assets.

Payment card details are collected and processed by payment partners such as Stripe, Paystack, and Flutterwave. Stayvalor does not store full card numbers.

6. International transfers and data residency

Stayvalor offers data residency in the region the property chooses. Where personal information is transferred across borders, we use appropriate safeguards such as standard contractual clauses or equivalent mechanisms recognised under applicable law.

7. Retention

We keep personal information only as long as needed for the purposes described in this policy. Account data is retained for the life of the subscription plus a limited wind-down period, financial records are retained for tax and accounting requirements, and guest data is retained according to the property's instructions and our Data Processing Addendum.

When a property leaves Stayvalor, we provide a complete export and delete remaining data in line with our retention schedule, except where law requires longer retention.

8. Security

Personal information is encrypted at rest and in transit. We maintain access controls, audit logging, environment separation, and continuous monitoring, and our program is built to SOC 2 standards.

No system is perfectly secure. If a breach affecting personal information occurs, we will notify affected parties and regulators as required by applicable law.

9. Cookies

Our website uses essential cookies to make the site work and, with consent where required, analytics cookies to understand how the site is used. You can control cookies through your browser settings and any cookie controls shown on the site. We do not use third-party advertising cookies.

10. Your rights

Depending on your location, you may have the right to access, correct, delete, or receive a copy of your personal information; object to or restrict certain processing; withdraw consent; and complain to a supervisory authority.

To exercise these rights, contact privacy@stayvalor.com. If your request concerns your data as a hotel guest, we may refer you to, or coordinate with, the property that controls your data.

11. Children

Stayvalor is a business platform and is not directed at children. Guest records may include minors travelling with families; that data is controlled by the property and processed by Stayvalor only to deliver the stay.

12. Changes to this policy

We may update this policy from time to time. Material changes will be notified on this page and, for subscribers, by email. The last updated date reflects the current version.
